Locations (or whatever you customise the name to be on the Settings → Company settings page) are used by most clients to indicate physical locations.

For example, various store locations for a retail chain or various departments (‘Bar‘, ‘Kitchen‘, ‘Reception‘) within a single hotel.

A location can have one or more roles which can then be assigned to one or more staff. For an overview of the most important settings and alternate ways to upload locations, go to the Docs → System guides → Getting started → Add locations support page.

Below you will find a breakdown of all the fields in the Account → Locations location of your account.

ID*AR10001A unique identifier for the area. An ID can be comprised of text and/or numbers up to 20 characters in length. If the ID used belongs to an existing deleted area, it will be un-deleted.
Name*St Kilda storeThe name of the area, usually based on a department or store location, e.g. "Kitchen" or "Brisbane".
Address9 Cubitt St, Cremorne VIC 3121, AustraliaThe full address where the area is located, including the country. The address will be used to power weather forecasts on the %roster% builder.
Time zone*Australia/VictoriaMust match a TZ name as per http://en.wikipedia.org/wiki/List_of_tz_database_time_zones.
Group one¹G110001The group one the area falls in. Must match the ID of an existing non-deleted group one.
Group two¹G210001The group two the area falls in. Must match the ID of an existing non-deleted group two.
Group three¹G310001The group three the area falls in. Must match the ID of an existing non-deleted group three.
Normal hoursThe normal trading hours of this area for each day of the week.
Opening06:30How long it takes to open the area. The system will alert you if no one is rostered on this many minutes before the open time.
Open07:00The actual open time of the area each day.
Close17:00The actual close time of the area each day.
Closing17:30How long it takes to close the area. The system will alert you if no one is rostered on this many minutes after the close time.
ShutNoCheck the box if the area is open on the day.
Special hoursSpecial trading hours can be used to store sets of dates you are open longer, shorter or no-at-all - compared to your normal hours. This can be useful during stocktake, extended trading or if you close over Christmas and other holidays.
Group namePublic Holiday ShutA short name used to identify the groups of dates. For example: "Public Holidays Shut" or "24 Hour Trading".
Dates2014-12-25,2015-12-25A comma separated list of dates each specific set of special trading hours falls on in YYYY-MM-DD format.
Custom dataCustom data fields can be used to store additional pieces of information on areas, which you can then report on. Custom data fields can be defined on the 'Settings -> Custom data' page of your account.
