Schedule Overview

Gain a better understanding of the layout of your new schedule builder

Welcome to our new schedule builder! While it’s a bit different than what you’re used to, hopefully a lot of will be extremely familiar and easy to pick up along the way. The same overall table structure hasn’t changed, nor have the employee /role views, notes or what’s displayed/available. What will be immediately apparent though, is just how much snappier and smarter the whole thing is.
Let’s dig in!
 

 

The schedule

The schedule builder has a menu banner along the top where you primarily change the schedule and view or access other menu/settings options.
Below this it features the full schedule itself, with employees/roles filling the rows and the days filling across the columns.
All of the cells in the schedule are context sensitive, so clicking an empty cell will allow you to create a new shift or note, whereas selecting an existing shift will display information about it. Similarly, selecting an employee or day will display a summary of information for that record. De-selecting everything will show a summary for the whole schedule.
 
 

The banner

Changing schedules

The schedule name and date range is displayed along the top, along with two arrows which can be used to go contextually through the previous and next ‘similar’ schedules, based on locations and dates of the current schedule.
 

role and employee

Under the schedule name, you will see either ‘role’ or ‘employee ’ displayed depending on the current view. Clicking that allows you to flick between the two views.
role view will display the schedule by role, split into a section per location, with each role in your account taking a row and displaying all shifts for that period which are aligned to that role.
employee  view will display the schedule by employees, with each one taking up a row of the schedule and displaying their shifts for that period. Only employees who have been allowed to work roles in the locations covered by the schedule will be displayed here. If any employees are missing from this list, go into their profile and enable them to work the roles at the locations covered by that schedule.
 

Schedule and Day

Similar to the above role and employee views, your schedule may be set to ‘Schedule’ or ‘Day’ ranges, which will determine the period of time that is displayed in your view.
Schedule will display the entire date range of the schedule for you to scroll through and view as a whole, with each column representing a day.
Day will limit your view to a single day so that you can focus entirely on what’s required for those 24 hours, with each column representing one of those hours. Small arrows will appear in the top right corner of the schedule which will assist you in quickly moving from day to day while in this view.
 
 

Shift and Summary

When in Schedule view, you’ll have ‘Shift’ and ‘Summary’ options in the middle of the schedule banner, allowing you to switch between the two roles as required.
Shifts is the primary view, allowing the usual use of creating and altering shifts and seeing how these are assigned specifically.
Summary view provides an overview of all the shifts in the schedule, giving you a number of the shifts per role on each day, how many are assigned or still require employees, which have errors, etc, so that you can take a quick look there to determine issues and then drill down further in Shifts view to resolve any concerns.
 

Action icons

Add

When you click an empty section of the schedule, a small ‘+’ icon will appear in the top-right corner, which will open the ‘Create’ panel, allowing you to Create a shift or note where you’ve selected.
Tip: Alternatively, you can simply double-click on that empty section to open the Create panel as well.
 

View details

The information panel on the right-hand side is open by default, but if you ever close it to make more room for viewing the schedule itself, the small ‘i’ icon in the top-right corner will open it back up again. This panel is extremely helpful for viewing information throughout, whether that’s a summary of the schedule as a whole, or for an employee, day, shift or instance of leave.
Schedule summary – When nothing is selected, the panel will display a summary of the schedule as a whole, calculating the total number of hours scheduled and the total cost of those hours. Adding or deleting shifts will adjust these figures in real time. If you set a budget for a schedule, Ento also shows the difference between the budgeted cost and the actual cost (as a percentage).
 

More actions

This final menu allows you to export/print the schedule, or perform bulk actions on the shifts within it, such as copying, reassigning and deleting.
You can also open the ‘Roster Settings’, which will allow you to do things such as ‘Hide empty rows’ or rearrange the rows on the roster into whichever order you prefer.
