An easy way to share information with employees or managers

Notes can be created directly on the day, role or entire roster for a variety of uses and audiences. These can be just for you, visible to all managers or visible to specific or all employees as well.

Using roster notes

The notes feature can be used to add additional or supplementary information. Ento will allow you to add notes that apply to:

  • A single shift
  • All shifts affecting a specific staff member or role
  • All shifts on a specific day, or
  • All shifts within the entire roster

 

Displaying notes contextually

You can quickly determine the context of some notes by its placement.

  • A note for an employee is under that name in employee View, or have a small profile picture in Role View.
  • Similarly, a note on a specific role will display under that role on Role View.
  • A note for all on a specific day will display at the top of that column.
  • Notes relevant to specific shifts will display in the same cells as the shifts.

To add the note

  1. Click on the blank area of a cell
  2. In the Information panel on the right, change the type to ‘Note’
  3. Fill in the details for the note
  4. Select what the note is About – the whole roster, a specific role, or a certain employee .
  5. Choose the Context of the note  – Whether it’s relating to the whole roster or just a certain day
  6. Advise who to Show the note to – just yourself, all managers or the associated employee(s) as well.
  7. Tick whether to Include it in the roster summary for the related employee(s)
  8. Click Save

 

A couple of things to remember:

  1. When adding a note to a published roster, staff will not receive another roster summary message with the new note, but they will be able to view this information in their Ento staff area, so if using Notes let employees know to check their Ento Employee app or the Staff area of the website regularly.
  2. If you have chosen to include the note in staff members roster summary, and your account is configured to communicate with employees via sms, we recommend keeping notes short (i.e. fewer than ten words), to avoid excessive SMS costs.
